VCACE Procedure

VCACE procedure

The VCACE procedure is an addendum to the Vanier College Sustainability Policy, outlining the process and procedure for VCACE meetings. The VCACE procedure is separate from the Vanier College Sustainability Policy and can be amended by vote at VCACE.

Voting

Each voting member possesses one vote on VCACE matters. Where the same individual occupies more than one of the functional titles above, they do not receive additional voting power.

A quorum of two-thirds is required for a vote to be registered as a recommendation. If quorum is not reached, the vote can be held at the subsequent VCACE meeting.

Project proposals

In order to propose a project or initiative, a VCACE member can add their proposal to the agenda. The VCACE member will present the proposal to VCACE, which will vote on whether to recommend the proposal to the Director General.

Working groups can propose projects or initiatives to VCACE after the proposal passes a vote at the working group level to be recommended to VCACE. The VCACE member who sits on the working group (or a delegate from the working group) will present the proposal to VCACE, which will vote on whether to recommend the proposal to the Director General.

Members of the Vanier community who are not members of VCACE or a working group can have their proposed projects or initiatives added to a VCACE agenda by asking the VCACE chair or a working group to be their project sponsor. Once added to the agenda, the project sponsor will present the proposal to VCACE, which will vote on whether to recommend the proposal to the Director General.

The committee will be free to invite individuals on an ad hoc basis and any current Vanier community member may attend VCACE meetings (but cannot vote on issues raised while in attendance).

Documentation and record keeping

Detailed records, including past agendas, meeting minutes, project proposals, and working group activities, will be diligently maintained.
