SUMMARY OF POSITION


Under the directions of the Assistant to the Director of Planning and Real Estate Development, the incumbent will be responsible for all administrative tasks related but not limited to the main project (Pavilion K). S/he will coordinate and organize meetings between the different stakeholders, professionals and government officials, draft, edit and format various documents in French and English. S/he may occasionally be required to provide clerical support to the other members of the team, as well as the professionals working on the project. Experience in a high-stress environment and ability to manage pressure is essential.


MAIN RESPONSBILITIES


Telephone and in-person reception of important stakeholders; Management of all communications related to each meeting, and proper filing of all important documents; Liaison between the different stakeholders and office staff, management of requests ; Management of the agenda, email invites via Lotus Notes, set-up and take-down of each meeting, and all other related tasks (equipment, orders, preparation of folders, etc.); All other related administrative tasks.

Minimum collegial studies in office administration and/or a diploma / certificate in secretarial studies ; Minimum 2 years’ related experience ; Excellent skills in MS Office – Outlook, Word, Excel PowerPoint, Internet (asset, knowledge of any email system, including sending invites would be required) Excellent sense of diplomacy, as well as strong linguistic skills in both official languages ; Knowledge of the construction industry and/or project management would be considered an asset. Ability to adapt quickly to change, multi-task and effective prioritization skills ; Excellent attention to detail and ability to maintain deadlines ; Responsible, helpful, versatile, welcoming, diplomatic, discrete, and flexible Autonomous, proactive and able to time-manage effectively ; Able to interact ethically and professionally with the people s/he will deal with.
